Start with the work, not the model
An AI project becomes easier to assess when the starting point is a task that people already do. Write down its inputs, the decisions involved, and the output someone needs. A document review process or an internal knowledge search is more concrete than a request to “add AI.”
Define a useful baseline
Look at how the task works today. What takes time? Where do errors occur? Which decisions require experience? Choose a small set of examples and define how a person would judge a useful result. That baseline makes it possible to compare the pilot with the existing process.
Keep the first boundary small
Use a limited data set and a single workflow. Keep a person responsible for decisions that affect customers, money, or access. The first pilot should reveal where the approach helps and where it needs more work.
Evaluate before expanding
Review successful and unsuccessful examples. Consider response quality, speed, operating cost, and the effort required to maintain the system. Expand only when the results justify a wider rollout. A good pilot can also show that a simpler tool is the better answer.
